What we expect
Role Responsibilities
- Support customer onboarding processes through the setup of business and billing accounts, contacts and contracts.
- Generate, validate, and distribute maintenance invoices in alignment with billing cycles and service agreements.
- Maintain and update billing rates in accordance with service contract changes or policy updates.
- Administer and monitor annual maintenance rate adjustments across regional branches, ensuring accuracy and compliance with contractual terms.
- Prepare and post credit notes as required, ensuring proper reconciliation and audit readiness.
- Process and issue parts invoices daily, ensuring timely revenue capture and proper documentation.
- Execute month-end reporting activities, ensuring data integrity and timeliness.
- Manage the elevator licensing renewal process for all units.
- Act as a key point of contact for branch teams, resolving inquiries related to maintenance billing and invoice discrepancies.
- Collaborate cross-functionally to support continuous improvement initiatives and operational best practices.
- Perform ad hoc administrative or analytical tasks to support the broader objectives.
- Other duties as assigned.
Who we are looking for
Role Qualifications
- Post-secondary diploma in Accounting, Business Administration, or related field (or equivalent experience).
- 2+ years of billing, accounting, or administrative experience; service industry experience preferred.
- Familiarity with contract billing and revenue recognition is an asset.
- High level of organizational skills with the ability to manage multiple deadlines.
- Strong communication and interpersonal skills for effective collaboration across teams.
- Problem-solving and analytical mindset to resolve discrepancies.
- Customer-focused with a commitment to service excellence.
- Integrity and confidentiality in handling financial data.
- Proficiency in MS Office Suite (Excel, Word, Outlook).
- Experience with ERP or financial software (SAP, Oracle, or equivalent preferred).
- Experience with Salesforce is highly desirable.
- Strong numerical accuracy, data entry speed, and attention to detail.
- Ability to analyze contracts and interpret billing terms.
